Team collaboration, every paid plan includes free guest seats

Everybody works in the plan.
Nobody needs a licence to see it.

Comments, files, reviews and approvals live on the work. Guests are free up to your plan's allowance, a shared document needs no account, and your AI agents read the same thread as your team.

The conversation on the task, next to the fields, files and history it is about.

Everyone in

No licence each. Invite the people who need to see the plan.

In Microsoft Project, every collaborator needs a full licence, even for a minor update. Here the plan is open to the people on it.

  • Guests are free up to your plan's allowance. 2 on Starter, 2 on Professional, 5 on Business, 10 on Enterprise. A guest sees only the projects they are invited to.

  • Send a document to anyone by email. They open it with a 6-digit code. Revoke the share and it stops that instant; it never falls back to a public link.

  • Share a report by link, with a password if you want one, and see how many times it was opened.

  • Ask for access, or nominate. Hit something you cannot see and ask from where you are. Cannot add a colleague? Put them forward and an admin decides from one inbox.

How guest seats are counted
Invite by email, pick the role, and see what that role will see before you send.

Preview a role before you assign it

Owner, Admin, Portfolio Manager, Member or Guest: the panel shows which areas, projects and actions each one reaches on your plan, including changes you have not saved yet.

The same panel sits in the invite dialog, so a role is checked before the invitation goes out.

Ask for access from where you are

Open a link to a project you are not on and the page asks for you. The people who manage it see the request in one inbox, pick the level, and you are in.

A person outside a locked project writes a note asking for access; a manager inside sees it in an inbox, picks the Member level and grants it; the lock opens, the person joins the team, and a notification confirms it.An animated diagram. One document, no account

Send a document to a client's address. They prove the address with a six-digit code and see it without a seat. Revoke the share and it stops that instant.

On the work

The conversation stays on the work

Not in a messaging app three tools away. The thread lives on the task, next to the fields, files and history it is about, and follows you to your phone.

  • Threaded comments on tasks, projects, issues and ideas, with replies.

  • @mention someone and it reaches their inbox, their email and their phone. With a project mailbox connected, a reply to that email lands back on the task as a comment.

  • The team thread stays the team's. An AI agent working the task gets its own tab, so briefing it never buries the human record. How humans and agents share a task

  • One inbox on five devices. The browser extension, Windows, Mac, iPhone and Android each carry the thread, the mention picker and reassign. Get the apps

Every mention, reply and request in one inbox, and the same inbox on the phone and the desktop apps.

Write together

Write together where the work is

Specs, files and decisions inside the project, not in a tab nobody opens.

  • Wikis you write together, so two people can edit the same page and see each other type. PRO+

  • Word, Excel and PowerPoint, co-edited in the browser, several people at once, with every save kept as a version you can restore.

  • Document libraries per project and company-wide, with a library or list restricted to the people and teams who should see it.

  • Pages and whiteboards. SharePoint-style pages with publish, versions and per-page sharing; a shared board to sketch on. PRO+

Where your team already is

In Microsoft Teams, Copilot and Outlook

Standups happen next to the live board, not a stale screenshot. The Teams app is part of every plan, including Free.

  • Project tabs inside Teams, pinned to a channel, with single sign-on. The Teams app

  • Ask Microsoft 365 Copilot what is assigned, what is overdue, or for a project summary, grounded in your live data.

  • Outlook replies drafted into your mailbox, never sent for you. You read, you send.

Questions teams ask

Do guests need a paid seat?

Not up to your plan's allowance: 2 on Starter, 2 on Professional, 5 on Business, 10 on Enterprise. Past that a guest is billed like a member. Guests only see the projects they are invited to, and can log time on them. Free has no guest allowance.

Can someone outside our company open a document?

Yes, without an account. Send it to their email and they enter a 6-digit code to open it. Revoking the share stops it immediately; it never degrades to a public link.

Do our AI agents see the same comments?

Yes. An agent is a member of your organization: assign it work, mention it, review what it produces. Its back-and-forth sits on its own tab so the team thread stays the team's.

Which of this is on the Free plan?

Comments, mentions, notifications, document libraries, Office co-editing, external sharing, access requests, the Teams app and the companion apps. Wikis, whiteboards and Pages start on Professional; To Do sync and SharePoint attachments on Business.

Bring the whole team, not just the planner.

Import the plan, invite the people on it, and let the conversation start on the work.
