Rollout guides
Plan your rollout
A rollout guide for each plan, written for the Owner and admins who set Onplana up, with one page per role and a PDF you can send to your team, your sponsor or your partner.
Pick the guide for your plan
Every guide covers the same four parts: who to bring in first, identity and access, integrations and apps, and AI setup and control. What changes is what your plan includes.

Bring people in from the top down
A member who signs in to an empty workspace leaves. A member who finds their tasks already assigned, in a project their manager built, stays. So each group sets up what the next one needs.
- 1
The Owner and one or two Admins
Decide sign-in, roles, project visibility, billing and the AI controls.
- 2
Portfolio managers
Set up teams, group the work, and decide how new work arrives and gets approved.
- 3
Project managers
Bring plans in (Microsoft Project, Excel or a template), assign owners and dates, capture a baseline.
- 4
Members and guests
Sign in to tasks that are already theirs, in the web app, Microsoft Teams or the Onplana Tasks apps.
Questions
Frequently asked
Which rollout guide should we read?
The one for your plan: Professional, Business, Enterprise. Each covers who to bring in first, sign-in and access, integrations and apps, and AI controls, with one page per role.
Can we share the PDF with our team or a partner?
Yes. Each guide is also one PDF: the main article and its four role pages, ready to attach to an email or a proposal.
Is the PDF the same as the online guide?
Yes. The PDF is generated from the online articles every time the documentation is published, so the two always match.
Do we have to roll out in this order?
Keep the order, but not the pace. A pilot team can go through all four steps in a week; what matters is that each group finds the setup it needs already done.
Do we need single sign-on to start?
No. Single sign-on and SCIM are on Enterprise and above. On any plan you can invite people by email, and on Enterprise their accounts link to single sign-on later by email.
What about Enterprise+?
Enterprise+ is a dedicated deployment that Onplana sets up and runs in your own Azure subscription. The Enterprise guide applies, and we plan the rollout with you.
Start with the Owner
Create the workspace, then follow your plan's guide one group at a time.
